6.3 What Happens After Your Project Ends

When your engagement with Digital Marketing Cube concludes:

  • We will take steps to remove our access to your accounts (Google Ads, Meta, Analytics, website, etc.) within 7 working days of project conclusion, where technically possible and where we have been granted the ability to do so.
  • Project files, reports, and data will be retained for up to 3 months for our records, after which they will be securely deleted or anonymised.
  • On your written request, we can delete your project data earlier, subject to any legal retention requirements.

6.4 Non-Disclosure

7. Data Retention

We do not keep your data for longer than necessary. Here is how long we retain different types of data:

14. Payment Policy

At Digital Marketing Cube, we believe in complete transparency when it comes to money. This section explains how payments work for our services — what we charge, how we accept payments, when payments are due, and what happens if a payment is delayed.

14.1 Payment Models

Depending on the nature of the service you engage us for, we work on the following payment structures:

Retainer Model (Monthly Services)
For ongoing services such as SEO, social media marketing, Google Ads management, and Website AMC, we work on a monthly retainer basis. The retainer fee is billed and due in advance at the beginning of each month. Services for the upcoming month will commence only after the retainer payment has been received and confirmed.

Milestone-Based Model (Project Work)
For one-time projects such as website development (WordPress, Shopify, or custom), we follow a milestone-based payment structure:

The project will not commence until the initial 50% advance is received. Each subsequent milestone payment must be cleared before the next phase of work begins.

For consulting sessions, strategy sessions, and digital audits, full payment is required in advance before the session or report is delivered.

14.2 Accepted Payment Methods

We accept the following payment methods for all services:

  • UPI — Google Pay, PhonePe, Paytm, BHIM (preferred for quick payments)
  • Bank Transfer (NEFT / RTGS / IMPS) — Bank details will be shared on the invoice
  • Cheque — Payable to “DMC Solutions” (subject to clearance before work begins)

We do not accept cash payments for any service. All transactions must be documented and traceable for GST compliance.

14.3 GST on Services

Digital Marketing Cube is a GST-registered business (GSTIN: 07BPPPV3169G1Z9). All our services attract 18% GST as applicable under the Goods and Services Tax Act, 2017.

  • All quoted prices are exclusive of GST unless explicitly stated otherwise.
  • A GST-compliant tax invoice will be issued for every payment received.
  • Clients who are GST-registered can claim Input Tax Credit (ITC) on payments made to us, subject to their own GST filings.
  • Please share your GSTIN at the time of onboarding so we can include it on your invoices.

14.4 Invoice and Payment Due Dates

  • Invoices for monthly retainer services are raised on the 1st of each month (or the agreed billing date).
  • Payment is due within 7 days of the invoice date.
  • For project-based work, milestone invoices are raised at the start of each milestone phase, with payment due within 5 working days.
  • Invoices are sent via email to the registered billing email address provided at onboarding.

14.5 Late Payment

Timely payment is important for us to maintain quality service delivery and allocate team resources effectively.

  • If a retainer payment is not received within 7 days of the invoice date, we reserve the right to pause active work until the outstanding amount is cleared.
  • A late payment reminder will be sent after 3 days of non-payment.
  • If payment is not received within 15 days of the invoice date, we reserve the right to suspend all services until the dues are fully cleared, without further notice.
  • Repeated late payments (more than 2 instances in a contract period) may result in a change in payment terms, requiring advance payment for future billing cycles.
  • We do not charge a late payment penalty or interest at present, but we reserve the right to introduce such a policy with prior notice.

14.6 Third-Party Ad Spend and Platform Costs

For services involving paid advertising (Google Ads, Meta Ads, LinkedIn Ads, etc.):

  • Ad spend is separate from our management fee. Our fee covers campaign strategy, setup, management, and reporting. The actual advertising budget you allocate on these platforms is charged directly by Google, Meta, or the respective platform.
  • You must maintain sufficient funds in your advertising account at all times. We are not responsible for campaign interruptions caused by insufficient ad budget.
  • We do not hold or manage your advertising budget on your behalf. Payments to advertising platforms are your direct responsibility.
  • Any platform fees, tool subscriptions, or third-party software charges required for your project will be communicated upfront and billed separately or with your advance written approval.

14.7 Scope Changes and Additional Charges

  • Any work outside the agreed scope of the proposal or contract will be considered additional work and will be billed separately.
  • Wherever possible, we will inform you in advance and seek your written approval (via email) before undertaking any out-of-scope work.
  • Rush requests — tasks requiring completion within 24–48 hours outside normal turnaround — may attract an urgent delivery surcharge of up to 20–25% of the standard charge for that task.

14.8 Payment Disputes

If you have a query or dispute regarding an invoice:

  • Please raise it in writing to info@digitalmarketingcube.com within 5 working days of receiving the invoice.
  • We will review and respond to all billing disputes within 5 working days of your written request.
  • Undisputed portions of an invoice must still be paid by the original due date.
  • Raising a dispute does not entitle you to withhold payment on undisputed amounts.

15. Refund and Cancellation Policy

We understand that circumstances change. This section explains our approach to cancellations and refunds across all our services.

Our refund policy reflects an important reality: digital marketing services involve the allocation of time, expertise, and resources from the moment a project begins. Unlike physical products, the work done cannot be “returned.” However, we aim to be fair and reasonable in every situation.

15.1 General Principle

All payments made to Digital Marketing Cube are considered final once work has commenced for that billing period or project phase. We do not offer refunds for completed work, work-in-progress, or any service where team resources have already been allocated or once the work started.

15.2 Website Development Projects

Website development (WordPress, Shopify, or custom) follows a milestone-based payment structure. The refund eligibility is as follows:

15.3 SEO Services

SEO is a long-term, results-driven service. Rankings and traffic improvements take time, and the work done each month (technical fixes, content, backlinks, reporting) has already consumed team resources by the time it is delivered.

  • Monthly SEO retainers are non-refundable once the work for that month has commenced.
  • If you wish to cancel your SEO retainer, you must provide 30 days’ written notice before the next billing cycle.
  • Upon receiving cancellation notice, we will complete deliverables for the current paid period and hand over all work, reports, and assets.
  • No refund will be issued for the current month’s retainer if notice is given mid-month.
  • We do not guarantee specific search engine rankings or traffic numbers as these are determined by Google’s algorithm, which is outside our control.

15.4 Social Media Marketing Services

  • Monthly social media management fees are non-refundable once the content calendar or creatives for that month have been initiated.
  • 30 days’ written notice is required to cancel social media management services.
  • All content, designs, and assets created for you during the engagement and fully paid for remain your property and will be handed over upon written request after all outstanding dues are cleared.

15.5 Google Ads / Meta Ads Management

  • Monthly ad management fees are non-refundable once campaign work has begun for that month (setup, optimisation, reporting).
  • 15 days’ written notice is required to pause or cancel paid ad management services.
  • Ad spend already deployed on Google or Meta platforms is non-refundable as it is controlled by those platforms, not by us.
  • If you cancel mid-month, campaign management will continue through the notice period provided all dues for that period are cleared.

15.6 Website AMC (Annual Maintenance Contract)

  • AMC payments are made for a defined contract period (monthly or annually).
  • Annual AMC contracts — If you wish to cancel before the contract term ends, we will issue a prorated refund for unused full months remaining, less any setup or onboarding charges already incurred.
  • Monthly AMC — Non-refundable for the current billing month. Cancel anytime with 30 days’ written notice before the next billing date.

15.7 Consulting and Digital Audit Services

  • Consulting fees are non-refundable once the session has been conducted or the audit/report has been delivered.
  • If you cancel a scheduled consulting session with at least 48 hours’ advance notice, we will reschedule it at no extra cost.
  • Cancellations within 48 hours of a scheduled session will forfeit the session fee.

15.8 Conditions Where No Refund Applies

Regardless of the service type, no refund will be issued in the following situations:

  • Work has been completed and delivered as per the agreed scope of work
  • The delay or unsatisfactory outcome is due to incomplete, incorrect, or delayed information provided by the client
  • The client approved deliverables (design, content, strategy) and later changed their mind
  • The client failed to communicate for 30 or more days, causing work to be paused or abandoned on our end
  • The refund request is made after 30 days from the date of the disputed invoice or delivery
  • Services were delivered as part of a special offer, discount package, or promotional pricing

15.9 How to Request a Refund or Cancel a Service

If you wish to cancel a service or request a refund, please follow these steps:

  • Send a written request to info@digitalmarketingcube.com with the subject line: “Cancellation Request — [Your Company Name]” or “Refund Request — [Your Company Name]”
  • Include in your email: Your name, company name, service name, invoice number(s), reason for cancellation or refund, and your bank account details (for refund processing)
  • We will acknowledge your request within 2 working days
  • Your request will be reviewed and a decision communicated within 7 working days
  • Approved refunds will be processed within 10–15 working days of approval, via the original payment method or bank transfer.

15.10 Chargebacks and Payment Disputes

We request that any billing concerns be raised with us directly before initiating a chargeback or payment dispute with your bank. We are committed to resolving all disputes fairly and promptly.

Initiating a chargeback without prior communication with Digital Marketing Cube may be treated as a breach of our payment agreement and could result in:

  • Immediate suspension of all active services
  • Recovery action for outstanding dues
  • Escalation to legal channels if required

We believe in resolving all matters through direct, respectful communication first.

15.11 Changes to This Policy

We reserve the right to update our Payment Policy and Refund & Cancellation Policy at any time. Any changes will be reflected on this page with an updated “Last Updated” date. For active clients, we will notify changes via email at least 15 days before they take effect.
